TFSA Privacy Policy

True Focus Sports Academy ("TFSA", "we") runs the website truefocussports.com and a private Athlete Portal for enrolled families. This policy explains what personal information we collect, how we use it, and the choices you have.
What we collect
- Website inquiries: the parent's name, email or phone, the child's age band and fencing experience, preferred class times, and how you heard about us. We do not ask for the child's name, birthday, school or photo on this form.
- Website usage: which page you came from and simple counts of clicks on our contact buttons (booking, phone, text, email). We do not store your full IP address; we keep only a one-way scrambled version to stop spam.
- Athlete Portal (enrolled families only): the parent's email and phone, each registered child's name and US Fencing ID, the child's post-competition survey answers, bout videos the parent chooses to upload, and the coach's notes. Consent records (date and time, IP address, parent email, consent version).
- We never collect payment card or bank details, Social Security numbers, family income, or medical history on the website or in the portal. Payments are handled by our payment provider (Square), not by us.
How we use it
- To answer your inquiry and arrange a trial class.
- To coach enrolled children: comparing survey answers with bout video, and planning training.
- To understand which pages and channels bring new families, as counts only.
We do not use children's information for advertising, and we do not sell or rent personal information to anyone.
Who we share it with
- Service providers that host and run our site and portal (Cloudflare) and deliver email and sign-in codes (Google). They process data only on our behalf.
- Nobody else, unless you give written permission or the law requires it.
- Results that are already public on FencingTimeLive or FencingTracker (name as listed, event, place) may appear in our club news and honors list. Survey answers, coach notes and portal videos never do.
How long we keep it
- Inquiries from families who do not enroll: deleted after 12 months.
- Inquiries from families who enroll: deleted 12 months after enrollment; we keep only counts with no names.
- Contact-button click records: deleted after 12 months; we keep only weekly counts.
- Portal bout videos: until the parent deletes them, or 12 months after upload, whichever comes first.
- Survey answers and coach notes: kept in TFSA's own training records while the child trains with us; deleted within 30 days after the child leaves or on request, including from our backups.
Your choices and rights
- You can ask what information we hold about your family, ask us to correct it, or ask us to delete it, at any time, by emailing info@truefocussports.com. We respond within 30 days.
- Parents of children under 13 can review their child's information, stop further collection, and have it deleted.
- Using the portal is voluntary; your child can train at TFSA without it.
Children
The public website is meant for parents and adults. Portal accounts are opened only for parents or legal guardians, never for children, and only after the parent's consent. TFSA arranges portal registration directly with the parent, never through the child.
Security
We use encrypted connections and storage, one-time sign-in codes, and access controls that keep each family's data separate. No method of transmission or storage over the internet is 100% secure.
Do Not Track
Our website does not respond to browser "Do Not Track" signals, because we do not track visitors across other websites.
Changes
If we change this policy, we will update the date at the top and, for material changes affecting portal families, ask parents to review it again.
